AI transformation for small & medium businesses

From spreadsheets and old software to AI‑powered products your business runs on.

We take the legacy systems, paperwork and manual routines that slow you down and rebuild them as secure cloud apps and AI assistants that work around the clock. Founder-led. Prototypes in days, not quarters.

01What we do

Seven ways we modernise a business.

Most engagements combine two or three of these. We start where the pain is highest and the payback is quickest.

  • Legacy software → cloud

Desktop, on-premise, Excel and Access systems rebuilt as secure web apps your team can use from anywhere — with your existing data carried across.

  • AI agents & assistants

Round-the-clock booking and reception, customer support, lead capture and follow-ups — answering in your tone and handing over to a person when it matters.

  • Workflow automation

Billing and invoicing, scheduling, reminders, reporting and data entry — the repetitive work that eats evenings, done automatically and checked.

  • E-commerce & catalogue AI

Store builds, automatic imports from marketplaces, AI-written product content and full localisation — so your catalogue works as hard as you do.

  • AI content pipelines

Automated audio, news and content generation — sourcing, writing, voicing and publishing on a schedule, with guardrails you control.

  • Data & dashboards

Analytics, admin panels and health monitoring that show what is happening in your business today — not in next month's spreadsheet.

  • Integrations

Payments, SMS and email, Google sign-in, calendars, marketplaces and accounting tools — connected so information is entered once.

  • Not sure where to start?

02Example transformations

What we've built — described plainly.

Client and product names are withheld. Each example below is a generalised account of work we have delivered; the last is an illustrative example of a typical engagement.

Local servicesA

Phone and paper bookings → a 24/7 AI booking platform

Before

Appointments taken by phone and written in a diary. Missed calls after hours meant missed customers; no-shows were common.

What we built

  • An AI assistant that books, reschedules and answers questions, day and night
  • SMS and email reminders
  • Google sign-in and an owner dashboard
  • Subscription billing and multi-location / multi-brand support
  • Imports from incumbent booking tools

What changed

Customers book whenever suits them, the owner stops answering the same questions, and the calendar fills itself.

Sports & communityB

WhatsApp groups and spreadsheets → a mobile web app

Before

Events organised across chat groups and shared spreadsheets. Sign-ups got lost; organisers chased everyone by hand.

What we built

  • Event creation and sign-ups, with partner invites by link
  • Automatically generated schedules
  • In-app chat and push notifications with smart rate limits
  • Organiser admin and metrics

What changed

One place for every event. Members know where to be; organisers spend their time on the community instead of admin.

Retail & e-commerceC

A heritage brand on one marketplace → its own bilingual store

Before

A long-established consumer brand sold only through a third-party marketplace — on someone else's terms, with no direct customer relationship.

What we built

  • Products imported automatically from marketplace data
  • A conversion-focused redesign
  • Full localisation in two languages
  • Legal and tax setup
  • A preview-before-live workflow

What changed

The brand owns its storefront and customer list, and can launch changes safely after reviewing them first.

ManufacturingD

A PDF brochure → a bilingual company website

Before

The company's only sales material was a PDF brochure passed around by email.

What we built

  • A bilingual company website
  • A private admin to update products and content
  • Privacy-friendly analytics
  • Lead tracking, including WhatsApp click-throughs

What changed

Prospects find the company on the web, and the team can see which enquiries come from where.

Media & contentE

A daily news audio show, produced end to end by AI

Before

A daily show would need a team to research, write, record and publish every single day.

What we built

  • Automated sourcing and story selection
  • Script writing with editorial rules
  • Synthetic voice production
  • Scheduled publishing

What changed

The show is produced and published every day, fully automated, with a human able to review or step in.

Professional servicesIllustrative example

A legacy billing system → a cloud billing service

Before

A typical setup: billing software installed on one office computer, invoices printed and posted, payments matched by hand at month end.

What we would build

  • A secure cloud billing app with existing customers and history imported
  • Automatic invoices and payment reminders
  • Online card and bank payments
  • Reports on demand

What changes for the owner

Access from anywhere, invoices that send themselves, faster payment, and month-end figures without a spreadsheet marathon.

03How we work

Small steps, real software, early.

You see something working before you commit to the whole build. Our team uses AI throughout design, engineering and testing — that is how a small team ships quickly without cutting corners.

  1. 1

    Assessment

A free conversation about how your business runs today. You get a short written plan: what to modernise first, the options, and a fixed quote.

  2. 2

    Prototype in days

A clickable, working prototype using your own processes and sample data — so decisions are made on something real, not slides.

  3. 3

    Launch

We build, test and move your data across, then run alongside the old way until you are confident to switch.

  4. 4

    Care plan

Optional monthly support: monitoring, updates, security fixes and small improvements as your business changes.

04Who it's for

Owner-run and growing businesses.

Small and medium businesses with good instincts and too much manual work. If your business runs on phone calls, spreadsheets or software nobody wants to touch, we can help.

05Team

Founder-led. Deliberately small.

Nova AI Ventures is led by its founder, Mustafa Akca, who shapes every engagement and stays involved from first call to launch.

Around them is a team of up to ten specialists — engineers, designers and trusted contractors — brought in for what each project needs. Everyone works with AI tools built into how we design, write and test software, so you get the pace of a larger agency with one accountable person.

06Questions

Straight answers.

What does it cost?

It depends on scope, so we quote after the free assessment — and the quote is fixed. There are two ways to work with us: fixed-scope projects (from a single automation to a complete platform) and an optional monthly care plan for hosting, monitoring, updates and small improvements. We will always suggest the smallest useful first step.

How long does it take?

A working prototype usually takes days. A focused automation or website can launch within weeks; larger platforms are delivered in stages so you get value before the whole build is finished.

Is our data secure and private?

We build on established cloud providers with encrypted connections, role-based access and regular backups. We collect only the data a feature needs, keep it out of AI model training, and can sign a data processing agreement. You stay in control of who sees what.

Who owns the code?

You do. Once a project is paid for, the code, data and accounts belong to your business. We document what we build so another team could take it over.

We already have software. Do we have to start again?

No. Often the best move is to connect to what you have, import its data, or replace one painful part at a time. Where a full move makes sense, we run old and new side by side until you are ready to switch.

What if the AI gets something wrong?

Assistants are given clear rules, limited to your information and set up to hand over to a person when unsure. Important actions — refunds, cancellations, anything unusual — can require human approval.
